A private event planning concierge, and the run of show

Birthdays, proposals, anniversaries and small private parties, planned around the venue's own event team rather than on top of it.

A private event planning concierge is not a replacement for the venue's own event team. It is the other half of the job. Birthdays, proposals, anniversaries, a dinner for twelve in a room with a door that closes — the venue owns what happens inside the building, and someone has to own everything that arrives from outside it.

Most evenings that go wrong do not go wrong because anyone was bad at their job. They go wrong at the seam. The florist arrives at a locked door. The cake is still in its box at eleven. The toast happens after dessert, when half the room is already standing. Nobody wrote the one document that says who is doing what at 7:40.

This is private celebration work, not conference production. No stages, no AV crews, no breakout rooms. We work in New York, Miami and Abu Dhabi, and we arrange evenings elsewhere when you are travelling. Availability is confirmed room by room, date by date.

Where the venue's event team stops

Any room worth booking has an events manager, and they are usually good. They own the floor plan, the staffing ratio, kitchen timings, the bar, the fire code, the load-in door and the hour the music has to come down. Nobody outside the building knows how long that kitchen needs between courses.

What they do not own is anything that walks in from the street. The florist, the cake, the photographer, the musician, the gift at each place setting, the guest who lands at nine and the two who cancelled that morning. Separate contracts, people who have never met each other, and a venue with its own week to run.

There is a second gap. The events manager who sells you the room is often not working the night itself. What survives the handover is whatever was written down and passed to the floor manager on duty. An email thread with the person who signed the contract is not a briefing. Making sure the briefing exists is most of the job.

The run of show, and who it is actually for

A run of show is a working document for the people on shift, not a schedule for your guests. Doors at seven. First drink poured by ten past, because a room where nobody is holding a glass never settles. Kitchen fires the first course once eleven of the twelve are seated. Toast at ten to nine, before dessert. Cake out of the kitchen at quarter past, while everyone is still seated.

The toast is the one people get wrong. After dessert the room has already broken: phones are out, two people have gone outside, someone is at the bar. Before dessert, everybody is seated, facing the same direction, glasses full. Same speech, different evening. Most of what makes a night feel unhurried is a set of decisions like that, made a week early rather than in the moment.

Timing also governs the parts nobody sees. Florists load in before service, so a seven o'clock dinner means flowers at four, a person on site to receive them, and a plan to take them away at the end, because few rooms will store them overnight. Photographers want two clean minutes with the table before anyone sits.

What a private event planning concierge is actually for

The work starts before the room is chosen. Most private dining rooms run on a food and beverage minimum rather than a flat room fee, which means the menu and the wine list decide whether you clear it. A room that sounds expensive can be the cheaper night, and a cheap room can leave you buying bottles at eleven that nobody wanted. Read the minimum before you fall for the space.

After that: the shortlist and the walk-through, the menu and the dietary notes, the outside suppliers and their load-in windows, the seating, and the run of show in the hands of everyone working. On the night, one point of contact holding that document, and it is not the maître d'.

Do you replace the venue's event manager?

No, and you would not want us to. They own everything inside the building: floor plan, staffing, kitchen timings, the hour the music comes down, and they know that room better than we will. We handle what arrives from outside it, and we make sure both halves are working from the same document. That includes the floor manager on duty that night, who is often not the person who sold you the room.

How far ahead should we start?

It depends less on the size of the party than on the date and the room. A private room midweek is a short conversation. A Saturday in December, a full buyout, or a room with one table everybody wants is a longer one, and sometimes the answer is a different room. Send the date as soon as you have it; availability is confirmed per request, and earlier means more rooms to ask.

Can a proposal be arranged without the restaurant making it obvious?

It can be, and the mechanism is the briefing. The events manager knowing is not enough, because the people who matter are the floor manager and the server on your table, so we agree a signal with the venue, a window where nobody approaches, and where the photographer sits so they read as another guest. The champagne comes after, not before, since a bucket arriving early tells the whole room what is about to happen. How much of this a room will take on varies, which is why we ask before you commit to it.
